Here’s how to go from a site visit to a signed proposal. Most contractors send their first proposal in under 15 minutes.

1. Set up your company

In Settings, add your business name, contact info, logo, and brand color. This is what your customers see on every proposal and PDF, so it’s worth a minute to get right.

2. Create a project

From your dashboard, create a new project and add the customer. Give it a title and pick the trade/category — this helps DoneDeal tailor the estimate and proposal to your kind of work.

3. Add photos and notes

Upload photos of the space or job (before/after and reference shots help), and jot down field notes — measurements, conditions, what the customer asked for. The more context you add, the sharper the AI draft. Notes marked internal stay private and never appear in the customer’s proposal.

4. Generate an estimate

Generate an itemized estimate from your photos and notes. Review the line items, adjust quantities and prices, and add or remove anything. You’re always in control of the final numbers.

5. Generate the proposal

Create a proposal from the estimate. DoneDeal writes a complete, professional document — executive summary, scope of work, materials, timeline, pricing, warranty, and more — using your photos and notes. Edit any section, or regenerate to refresh it while it’s still a draft.

6. Send and get it signed

Send the proposal to your customer. They get a clean link they can review on any device and approve with an electronic signature. Once sent, the proposal is locked so it always matches what the customer saw.

7. Track and follow up

See when a proposal is viewed and approved, send follow-ups, and ask happy customers for reviews and referrals.
